We’re onto point six of eight regarding the breakdown of your video about organising your Ladies Festival. I have apologised in the past for ‘blowing my own trumpet’ but point six recommends using an agency to assist you with the organising of your event so it’s going to be difficult not to!

The common misconception is that by using a company to assist in the organising of the event you are going to be paying more per head for the privilege. Not only is this incorrect but in most instances we can actually save you money. Due to the amount of business we are placing in UK hotels we can negotiate preferential rates and added value. Our services are paid for directly by the hotel by way of commission (which does not get added to the price the Lodge pays!).

A lot of the Lodges we deal with have a Festival Secretary who has been organising the Lodge events for longer than most can remember. The reality is he knows exactly what the Lodge require for the perfect event where he may struggle is with regards hotel/venue knowledge.  Our service can be as simple as suggesting a shortlist of venues based on the Lodge brief. We’ll put forward hotels with a proven track record of holding Lodge events and will negotiate excellent prices. At this point we are happy to step aside and let the Lodge deal directly with the hotel.

Alternatively we are finding that a lot of incoming Masters are ‘dropped in the deep end’ when it comes to organising their Ladies Festival. Booking a toastmaster, band, pianist, florist, printing company; circulating to the Lodge membership, collecting payments, designing table plans, choosing venues, menus, toasts all can be very complicated. The reason most of our clients come to us to help with organising their Ladies Weekends is due to the savings we can make them on their events. Due to our buying power we are able to negotiate favourable rates lower than the hotel would offer direct to the general public. We organise hundreds of events a year and take a lot of the administration work away from the hotel also a lot of the hotels like the required etiquette for dealing with a Lodge and are happy for us to deal with that side.

If you are organising your own event do not be afraid to haggle. The rate quoted by the hotel can almost certainly be bettered in the first instance by discounting the rate and secondly by negotiating some additional value. Let the hotel know the rates quoted by their competition, ask if they can match or better your best rate, challenge them to throw in a drinks reception, or some complimentary upgrades at no extra cost. Most of the time a little bit of nerve provide a lot more value.

Knowledge of venues is paramount and this is something we are always happy to offer. A lot of Lodges are more than happy to organise their events themselves they just lack the knowledge of which hotels are best. We work with most UK hotels so can advise, recommend and negotiate favourable rates at these venues at no cost to the Lodge (a commission is paid by the end venue)

A lot of Lodges no longer have a traditional Festival Secretary leaving the Worshipful Master the unenviable task of putting on an event with little or no experience. Our first advice if you find yourself in this situation would be to involve your Junior and Senior Warden’s, they’ll appreciate being involved and it will make their job a lot easier in future years. The more senior brethren will also be fonts of knowledge and will always be more than happy to offer their opinions (usually whether asked for or not!).

The best advice (from a completely biased opinion of course) would be to involve an event management company such as Square Events. From a basic brief we can provide a detailed proposal of venues of a high standard with a proven track record of putting on first class Ladies Festivals. From there we can be responsible for all the event planning (circulation to the brethren, guest management, booking entertainment, toastmaster etc) or if you’d rather look after that ‘in-house’ we will step away and leave you to deal with the hotel direct. Either way there is no direct cost to the Lodge, the end venue pay us a commission. Usually we can actually save the Lodge money as we are able to offer preferential rates at most hotels.
